Tech in Church is an AV systems integrator specializing in audio, video, and lighting solutions for houses of worship. We are based in Columbus, Ohio and serve ministry organizations across the region.

For the purposes of this policy, Tech in Church is the data controller — meaning we determine how and why personal data is processed.

2What Information We Collect

We only collect information that is necessary to provide our services or respond to your inquiries. We collect data through the following channels:

Contact & Intake Forms (via Tally)

  • Name and title
  • Organization / church name
  • Email address and phone number
  • Project description, budget range, and timeline
  • Facility details (location, seating capacity, room type)

Post-Install Surveys (via Fillout)

  • Name and contact information
  • Satisfaction ratings and written feedback
  • System performance observations

Proposal Portal

  • Name, title, and email address (for electronic signature)
  • IP address and timestamp (recorded at time of signature for legal validity)

General Website Interaction

  • Browser type and device information (collected by embedded third-party tools; see Section 5)
  • Pages visited and time on site (if/when analytics is added; see Section 5)

We do not collect payment card numbers directly. Payments are processed through third-party payment processors.

3How We Use Your Information

We use the information we collect for the following purposes:

  • To respond to inquiries — following up on contact form submissions and scheduling consultations.
  • To fulfill service agreements — designing systems, generating proposals, managing projects, and delivering completed work.
  • To send proposals and documents — sharing proposal links, signed confirmations, and project updates via email.
  • To conduct post-install follow-up — sending scheduled check-in emails (30-day and 90-day) to ensure your system is performing well.
  • To improve our services — reviewing survey feedback and project outcomes to refine our process.
  • To maintain legal records — retaining signed agreements and project documentation as required by law and business practice.

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

4Third-Party Services & Data Processors

We use trusted third-party services to operate our website, collect forms, and deliver our proposal portal. These services act as data processors — they handle data on our behalf, subject to their own privacy policies.

We only work with processors who maintain appropriate data security standards. We do not authorize any of these providers to use your data for their own marketing purposes.

5Cookies & Tracking

Our website itself does not currently use tracking cookies or analytics scripts. However, the third-party services embedded on our site may set cookies in your browser as part of their normal operation.

Cookies Set by Embedded Services

  • Tally forms — may set session cookies to maintain form state and prevent duplicate submissions.
  • Fillout surveys — may set session cookies to maintain survey progress and prevent duplicate responses.

Google Analytics

We use Google Analytics (provided by Google LLC) to understand how visitors use our website. Google Analytics collects information such as pages visited, time on site, browser type, and device type using cookies and similar tracking technologies. This data is aggregated and anonymized — we do not use it to identify individual visitors.

Google Analytics cookies include _ga, _gid, and _gat, which are set on your device when you visit the Site. These cookies persist for up to 2 years (_ga) or expire at the end of your session (_gid, _gat).

You can opt out of Google Analytics tracking by installing the Google Analytics Opt-Out Browser Add-on or adjusting your browser's cookie settings to block third-party cookies.

Managing Cookies

You can control or delete cookies through your browser settings. Disabling cookies may affect the functionality of embedded forms on our site.

6Email Communications

By submitting a contact or intake form, or by entering into a service agreement with us, you agree to receive the following types of email:

Transactional Emails (required for service delivery)

  • Proposal links and signed document confirmations
  • Project updates and scheduling communications
  • Invoice and payment notifications

These emails are necessary to fulfill your engagement with us and cannot be opted out of while an active project is in progress.

Relationship / Follow-Up Emails (optional)

  • 30-day post-installation check-in
  • 90-day post-installation satisfaction survey
  • Occasional service reminders or product announcements

You may opt out of relationship emails at any time by clicking the Unsubscribe link in any email footer or by emailing us at info@techinchurch.com with "Unsubscribe" in the subject line.

We comply with the CAN-SPAM Act. We will never send you unsolicited bulk email.

7How Long We Keep Your Data

We retain personal data only as long as necessary for the purpose it was collected, or as required by law.

  • Active project records (proposals, signed agreements, project files) — retained for 7 years from project completion to satisfy Ohio commercial record-keeping standards.
  • Leads that did not convert — contact information retained for up to 2 years in our CRM, then deleted or anonymized.
  • Post-install survey responses — retained indefinitely in anonymized/aggregated form for service improvement purposes.
  • Electronic signature records — retained for the duration of the associated contract plus 7 years.

You may request earlier deletion of your data (see Section 9), subject to our legal retention obligations.

8How We Protect Your Data

We take reasonable technical and organizational measures to protect your information, including:

  • Using reputable, security-certified third-party services (Tally, Fillout, Notion) with their own security programs.
  • Restricting access to client records to authorized team members only.
  • Using encrypted connections (HTTPS) for all web-based data transmission.
  • Not storing payment card information directly.

No method of transmission over the internet is 100% secure. In the event of a data breach that affects your rights, we will notify you as required by Ohio law.

9Your Rights

Regardless of where you are located, we are committed to honoring the following rights with respect to your personal data:

  • Access — You may request a copy of the personal information we hold about you.
  • Correction — You may ask us to correct inaccurate or incomplete data.
  • Deletion — You may request that we delete your data, subject to our legal retention obligations.
  • Opt-Out of Emails — You may opt out of relationship/marketing emails at any time (see Section 6).
  • Portability — You may request your data in a common format (e.g., CSV or PDF).

If you are a resident of California, you may have additional rights under the CCPA. If you are an EU/UK resident, you may have additional rights under the GDPR. Contact us and we will accommodate your request in accordance with applicable law.

10Children's Privacy

Our services are directed at organizations (churches and ministry groups) and their adult authorized representatives. We do not knowingly collect personal information from individuals under the age of 18. If you believe we have inadvertently collected such information, please contact us at info@techinchurch.com and we will promptly delete it.

11Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will:

  • Update the "Effective Date" at the top of this page.
  • Post a notice on our website for at least 30 days.
  • Email active clients if the change materially affects how we handle their data.

Your continued use of our website or services after a policy change constitutes acceptance of the updated policy.
